MFA FAQ

Multi-Factor Authentication (MFA) – Staff FAQ

1. What is MFA?
MFA (Multi-Factor Authentication) requires two steps to log in:

  • Something you know (your password), and

  • Something you have (such as your phone, authentication app, or fingerprint scanner, if applicable).

This helps prevent unauthorized access even if your password is stolen!  This school year alone, we have had 17 accounts compromised!

2. What system are we using?
We’re using Rapid Identity by Identity Automation to manage MFA and staff logins.

3. What authentication methods can I use?
RapidIdentity allows several options:

  • Code sent via text/SMS
  • Auththenticator app (link to them)
  • Windows Hello (link to video)

4. Do I need my phone every time I log in?
Not always. Depending upon the MFA method you choose, if you’re logging in from your usual device and location, you may not be asked for MFA every time. New devices or unusual activity will trigger MFA.

5. Can I register more than one device?
Rapid Identity will prompt you for your preferred MFA method.

6. What if I forget or lose my phone?
You can:

  • Email edtech@molineschools.org for assistance.

7. Will MFA slow me down?
MFA usually takes only a few extra seconds. Once verified, you’ll have Single Sign-On (SSO) access to multiple district applications without repeated logins.

8. Can I reset my own password?
Yes. RapidIdentity includes self-service password reset and account unlock, so you don’t have to wait for IT support.

9. When does MFA start?
MFA will be required starting December 1, 2025. Setup instructions will be sent before this date so you can register your preferred authentication method.

10. Who do I contact for help?
Please email edtech@molineschools.org for assistance with setup, troubleshooting, or questions.

👉 Remember: A few extra seconds at login protects all of us, our students, and our data. Thank you for helping keep our district secure.
